GLOSSARY OF TERMS
Internal promotion
the procedure leading to an academic teacher taking up a higher post.
Certified librarian
a staff member employed as: a senior certified curator (starszy kustosz dyplomowany), a senior certified documentalist (starszy dokumentalista dyplomowany), a library assistant (asystent biblioteczny), an assistant of scientific documentation and information (asystent dokumentacji i informacji naukowej), a certified curator (kustosz dyplomowany), certified documentalist (dokumentalista dyplomowany), a library adjunct (adiunkt biblioteczny), an adjunct of scientific documentation and information (adiunkt dokumentacji i informacji naukowej). Pursuant to the Act of 3 July 2018 Introductory Provisions of the Act – Law on Higher Education and Science and the provisions of the Statute of the University of Warsaw, the employees employed in the above positions shall remain employed in those positions until 30 September 2020. As of 1 October 2020 they shall become non-academic staff members employed respectively:
- senior certified curator – as a senior academic curator;
- a certified curator, certified library adjunct and a certified library assistant – as an academic curator.
Passive electoral right
the right to stand for and take office, mandate or function.
Active electoral right
the right to vote.
Managerial functions
according to § 56 section 1 of the Statute of the University of Warsaw, the persons holding managerial positions at the University are:
- the Vice-Rectors;
- heads of the organisational units of the University (faculties, colleges of studies, college of individual interdisciplinary studies, doctoral schools, university-wide organisational units);
- the deputy Deans for student affairs and the directors for teaching and learning in the case of organisational units of the University if such units organise and provide teaching and learning for students;
- the Chancellor – the head of university-wide administration;
- the Bursar – the chancellor’s deputy and the chief accountant of the University.
Overtime
hours carried out in excess of the mandatory annual teaching load, for which additional remuneration is due.
Organisational units of the University
- faculties
- colleges of studies and college of individual interdisciplinary studies;
- university-wide organisational units;
- joint units;
- university-wide administration units.
Appointment
a form of establishing the employment relationship with an academic teacher for a fixed or indefinite period of time, applicable until 30 September 2018 (until the Act of 20 July 2018 Law on Higher Education and Science shall enter into force). Employees employed at the University of Warsaw on 1 October 2018 on the basis of appointment remain employed in this form and for the period for which they were hired.
Mobbing
actions or behaviour concerning an employee or directed against an employee, consisting of persistent and long-term harassment or intimidation of an employee, causing an employee to underestimate their professional usefulness, causing or intended to cause humiliation or ridicule of an employee, isolating them or eliminating them from their team of co-workers.
Counteracting mobbing
on the basis of Ordinance No. 49 of the Rector of the University of Warsaw of 14 May 2018 on counteracting mobbing at the University of Warsaw (UW Monitor of 2018, item 140):
- any mobbing in the workplace is prohibited;
- relations between all members of the University of Warsaw community, including superiors and subordinates, shall be based on the principles of respect and tolerance, as well as respect for personal dignity
- heads of organisational units and direct superiors of employees counteract and respond to behaviour that has the features of mobbing;
- unfounded accusations of mobbing are prohibited and may also be the subject of proceedings regulated by this ordinance.

Academic teacher
an employee working in the research/teaching, research and teaching staff group.
Research/teaching staff member
Research/teaching staff member – an employee employed as: a professor, a university professor, a visiting professor, an assistant professor, a senior assistant, an assistant, whose main duties include conducting scientific activity, teaching and educating students or participating in the teaching process of doctoral students.
Research staff member
Research staff member – an employee employed as: a professor, a university professor, a visiting professor, an assistant professor, a visiting researcher, a senior assistant, an assistant, whose primary duties include conducting scientific activity or participating in the teaching process of doctoral students.
Teaching staff member
Teaching staff member – an employee employed as: a professor, a university professor, a visiting lecturer, an assistant professor, a senior assistant, an assistant, a lecturer, an instructor, whose primary duties include teaching and educating students or participating in the teaching process of doctoral students.
Periodic review of academic teachers
academic teachers shall be subject to periodic review, in particular in respect of the due performance of the duties as referred to in §115 of the Act – Law on Higher Education and Science (shall take into account the review made at least once a year by students and doctoral students of the fulfilment of academic teacher’s obligations related to the teaching and learning process) and their compliance with regulations on copyright and associated rights, as well as on industrial property rights
Academic teachers shall be subject to periodic review:
- carried out at least once every four years;
- or at the Rector’s request;
The criteria for periodic review of particular groups of employees and types of positions, as well as the procedure and body entrusted to carry out the periodic review, shall be determined by the Rector after obtaining the opinion of the Senate, trade unions, student self-government body and doctoral student self-government body.
University authorities
Types of university authorities:
- collegial bodies: the University Council, Senate, the academic councils of the academic disciplines and the Academic Council of the Areas of Study.
- the Rector: as a single-person authority of the University.
- the Electoral College: as the University’s electoral authority.
Mandatory annual teaching load (pensum)
the mandatory annual teaching load of an academic teacher employed as a research/teaching staff member or a teaching staff member, determined proportionally to the working time (full-time employment). The annual teaching load of an academic teacher shall depend on the position held and shall be as follows:
- employed in the research/teaching staff group:
- professor – 180 teaching hours;
- university professor – 210 teaching hours;
- visiting professor – 210 teaching hours;
- assistant professor – 210 teaching hours;
- senior assistant – 210 teaching hours;
- assistant – 210 teaching hours;
- employed in the teaching staff group:
- professor – 240 didactic hours
- university professor – 270 teaching hours;
- visiting lecturer – 270 teaching hours;
- docent – 270 teaching hours;
- assitant professor – 360 teaching hours;
- senior assistant – 360 teaching hours;
- assistant – 360 teaching hours;
- lector – 540 teaching hours;
- instructor – 540 teaching hours.
Reduction of annual teaching load
reduction of the mandatory annual teaching load by the Rector.
Collegial bodies
Collegial bodies at the University within the meaning of § 56 section 2 of the Statute of the University of Warsaw are:
- the University Council for Teaching and Learning;
- faculty councils;
- teaching and learning councils;
- councils of other organisational units of the University.
Primary place of work
according to Article 120 of the Act – Law on Higher Education and Science of 2018, the university indicated in the employment contract based on the academic teacher’s statement; the condition for indicating the university as the primary place of work is full-time employment at the university. An academic teacher may have only one primary place of work at a time.
